As India’s largest integrated power company, managing large volumes of operational and regulatory documentation was vital. However, the organization lacked a centralized content management system, resulting in fragmented and inconsistent document storage. Documents generated through key SAP transactions—especially via CV01N—were not being systematically archived, leading to discrepancies between SAP and other internal systems.

This disconnect created inefficiencies, hindered compliance, and made information retrieval during audits increasingly difficult. Duplicate records, data mismatches, and manual processes began to take a toll on productivity and storage costs.

The situation soon attracted the attention of the Chief Information Officer (CIO), who saw the lack of integration between SAP and a robust enterprise content management (ECM) system as a strategic risk. With rising storage costs and compliance complexity, the CIO championed the urgent need for a solution that would unify document workflows and reduce the total cost of ownership (TCO).

The company identified OpenText Documentum as the ECM of choice and set out to configure SAP connectors to automate and streamline archival, ensuring a single source of truth across systems.

The Solution: Intelligent Integration with SAP and Documentum

To tackle the growing complexity of content sprawl and system silos, Team Datamatics began with a meticulous due diligence process, diving deep into the client’s existing SAP workflows and document lifecycle. This groundwork revealed critical integration points where content discrepancies originated, and it provided a roadmap for creating a seamless content ecosystem.

Datamatics implemented ASSAP-CSSAP connectors, enabling a secure and reliable communication bridge between the SAP R/3 system and OpenText Documentum. This integration ensured that content generated through SAP transactions was automatically and accurately archived in Documentum, eliminating manual intervention and the risk of duplication.

To enhance usability, the team customized the Generic Object Services (GOS) menu within SAP, embedding Documentum’s custom WDK components directly into the user interface. This allowed business users to work within their familiar SAP environment while effortlessly performing key document actions—such as importing files to designated document folders, viewing attachments associated with specific document numbers, and conducting advanced searches for quick retrieval.

With these enhancements in place, the company achieved a tightly integrated and intelligent document management framework—tailored for scale, compliance, and operational efficiency.
